This Refund Policy explains how RTX Trucking handles cancellations, refunds, and billing adjustments related to our freight and trucking services. Because trucking services involve scheduled equipment, drivers, and route planning, our refund terms differ from standard retail refund policies.

1. Booking Deposits and Payments

Some bookings may require a deposit or full prepayment at the time of scheduling, depending on the freight type, distance, and customer account status. This will be clearly communicated in your quote or rate confirmation.

2. Cancellations by the Customer

• More than 24 hours before scheduled pickup: Cancellations made more than 24 hours in advance are eligible for a full refund of any deposit paid, less any non-refundable processing fees.
• Within 24 hours of scheduled pickup: A cancellation fee of [X]% of the total freight charge may apply to cover dispatch, equipment allocation, and driver scheduling costs.
• After driver dispatch or arrival at pickup location: If a truck has already been dispatched or has arrived at the pickup location, a “truck ordered, not used” (TONU) fee may apply, typically ranging from $[X] to $[X], in addition to any incurred fuel or mileage charges.

3. Cancellations or Delays by RTX Trucking

We are not liable for cancellations or delays caused by Force Majeure events (severe weather, road closures, mechanical failure, accidents, government restrictions, or other events beyond our reasonable control), though we will make reasonable efforts to reschedule or minimize impact.

4. Overpayments and Billing Errors

If you believe you have been overcharged or billed in error, contact our billing department within [X] days of invoice receipt. Verified billing errors will be corrected and any overpayment refunded within [X] business days.

5. Damaged, Lost, or Delayed Freight

6. Non-Refundable Fees

The following are generally non-refundable once incurred:

• Detention fees (delays at pickup or delivery beyond agreed free time)
• Layover fees
• Fuel surcharges already applied to a completed leg of transport
• Third-party fees (tolls, permits, escort vehicles) already paid on your behalf
